Automation & RPA — Common Questions

API integration connects systems through their proper programmatic interfaces — it is faster, more reliable and should always be the first choice. RPA drives an application through its user interface, mimicking a person, and exists for legacy systems that offer no API. RPA is more fragile because interface changes break it, so we treat it as a bridge rather than a destination.

The work here is largely deterministic: defined rules, structured data, predictable steps. AI automation handles the cases that need interpretation — unstructured documents, varied formats, judgement-light decisions. Many real processes need both, and we combine them where that is the right answer.

High volume, repetitive, rules-based work with clearly defined correct outcomes and already-digital inputs. Processes involving genuine judgement, frequent exceptions or negotiation are poor candidates. Separating the two is the main purpose of the discovery phase.

In most of our engagements the aim is absorbing growth without proportional hiring and removing the least rewarding parts of existing roles. We are straightforward about this early, because how it is communicated internally strongly affects whether the people who know the process cooperate — and their cooperation usually determines whether it succeeds.

Monitoring alerts us when exception rates rise, which is typically the first sign something upstream changed. API integrations are relatively resilient; RPA is more exposed, which is why we prefer APIs wherever they exist. Support arrangements cover adapting automations as the systems around them evolve.
